Adding extra guests to your Gibraltar wedding

A guest list rarely stays still between booking and the big day. When it grows, five separate things need to move together: the ceremony room, the seating plan, the catering order, the transport fleet and the hotel block.

Registry Office and venue capacity

The Gibraltar Registry Office and most approved ceremony venues have a fixed maximum capacity set for safety and licensing reasons, and it cannot simply be exceeded on the day. If your numbers grow past your venue's limit, we check the room's actual cap and, where needed, propose a larger approved venue or a split arrangement for the ceremony and reception.

Seating and catering, recalculated properly

Adding six guests is not adding six chairs: it can mean a new table, a revised floor plan, extra place settings and a catering order recalculated for both quantity and any additional dietary requirements, confirmed again in writing with your caterer.

Transport and hotel rooms

Extra guests usually mean an extra vehicle or a bigger one, and a check on whether your hotel room block still has availability at your negotiated rate — blocks are often capped, and a late addition can otherwise cost significantly more per room.

Guest lists move for good reasons — a colleague becomes a closer friend, a plus-one is confirmed late, a parent decides to bring extended family — but every extra name has a knock-on effect that's easy to underestimate. The ceremony room booked at the Gibraltar Registry Office or your chosen venue has a licensed maximum capacity that exists for safety reasons and genuinely cannot be stretched informally on the day; if your numbers are close to the limit, we check this first, because it's the one constraint that can force a change of plan rather than just a change of budget.

Everything downstream of the ceremony scales with headcount too. Catering is ordered and often paid per confirmed guest, so a late increase needs to reach your caterer with enough notice to source additional portions rather than stretching existing quantities. Seating plans need a genuine redesign rather than a squeezed-in extra chair, particularly for a top table or a family arrangement with its own seating logic. None of this is difficult, but it needs to happen in the right order and be confirmed in writing with every supplier, not just assumed.

Transport and accommodation are the two areas most often missed until the week of the wedding. A shuttle sized for forty guests genuinely cannot carry fifty, and hotel room blocks negotiated months earlier are frequently capped at a fixed number of rooms at the agreed rate — once that's full, additional rooms may only be available at the hotel's standard rate or not at all. We check both as soon as we know your numbers have changed, so you're choosing your options with full information rather than discovering a shortfall on arrival.
